AutoInterests Family,

We appreciate the overwhelming amount of feedback we received in the survey sent out yesterday.  The hundreds of responses contained many great suggestions, feedback and encouragement.

Obviously there is no "playbook" for handling a situation like this; it is unprecedented and we're doing our best and adjusting on-the-fly.

The main reason for this message is to announce the cancellation of our May 2-3 PittRace Season Opener event.

All registered participants will be issued store credits within a few business days, please watch your inbox to hear from us.

Everybody is probably thinking, "when will the cancellations stop?" or "not another one!"  We don't want to keep being bearers of bad news so we will use this an opportunity to share some positives as well.

At this stage we do not foresee any additional cancellations.

We are in a very rapidly changing environment and doing our best to act on good data.  This is based on a blend of survey data and guidance from federal/state/local health officials (incorporating expectations of when stay-at-home and other restrictions are scheduled be lifted).  This could change but this is our best assessment at this time.

  • Advance notice of cancellations is appreciated and requested - this is why we are not waiting any longer to provide the notice about the PittRace Season Opener
  • We want to be clear: we are absolutely strictly adhering to stay-at-home orders, "non-essential" business shutdowns along with other government mandates and guidelines.
  • Drivers attending out of state events may not be familiar with restrictions in other states/localities.  We will share this information so all event participants are fully aware.

Cancellation Policy (credits vs. refunds)

AutoInterests is one of America's many great small businesses.  We are among the largest HPDE organizations in the country and our day-to-day team does not have other "day jobs".  We live, eat and breathe HPDE full time, this is why you see consistent improvements in technology and operations every season - we are here every day making things better.  There are families that depend on AutoInterests to make their full time livelihood.  Many HPDE organizations are side projects, we are not; meaning our considerations are different when handling unprecedented situations like this.

Our policy for COVID-19 related cancellations is to issue store credits rather than refunds.  This is not a decision that we have just now made, it is in accordance with our published refund policy regarding "circumstances beyond our control" that has been in place for many years.  AutoInterests has the largest HPDE schedule in our region, allowing plenty of opportunities to redeem credits.  We have tried to be generous with these credits, allowing 3 full seasons worth of time to redeem them.  While the credits expire Dec. 31, 2021, this allows full access to every season through 2022 (2022 events will be available for registration in Oct/Nov. of 2021).

AutoInterests has already paid out well over $100K in track rental, insurance and other expenses for the anticipated 2020 HPDE season.  This occurred well before the COVID-19 crisis materialized and are costs that are generally not recoverable, some tracks are being flexible with allowing credits when we have to cancel but the cash has been paid.

Store credits protect our ability to meet obligations to our team and other fixed expenses as we "idle" operations during this period of substantially reduced cash flow.  We are aware of the small business support programs available through the government and are exploring our options with those programs.  At best, it will be many weeks before receiving funds IF we are eligible.

We realize that we are not the only ones struggling and are trying to be as flexible as possible while simultaneously ensuring that we are around for seasons to come.  AutoInterests will weather this storm, but our policies and approaches are what will enable us to.  AutoInterests is in a solid financial position, but offering full cash refunds for canceled events would create a hardship that jeopardizes this, it is also not the common practice for these unprecedented situations.

This is typically much more "internal" information than we would normally share, however we want to be as transparent as possible during this challenging time.  We like to think of ourselves as more of a family than a business; we are very real people and not a deep-pocketed large corporation.  If you have any questions or would like to see the full details of our COVID-19 related cancellation options/policies, please see our resource page here.

On to the positives - improvements to expect when we do get back to the track!

We have had several new projects in the works since the off-season began last fall and are getting them wrapped up to share with you now.

  • HPDE Points Program - this launched in the fall but is still very new, some may not be familiar with how it works
  • New Trackside Learning module - granular tracking of HPDE skills and access to classroom material at-your-fingertips and much more!
  • For the last few weeks we've shifted our technology priorities to developing remote, contactless driver meeting capabilities, contactless pre-check-in waiver technology and more to manage COVID-19 risks.

We'll be hosting a series of webinars later this month to share information about all of these features along with further details of how we plan to safely operate events as we navigate the COVID-19 situation.
